The Contract
After you pay the amount for the trip, the company will send you a written confirmation of your reservation. Reviewing the confirmation details is essential, and if you find erroneous or missing information, instantly notify Nepal Adventure Trip Pvt. Ltd. to make it accurate.
- Your reliable name is as expressed on your passport.
- If you book a reservation as a representative of another participant, you are the appointed contact person and accountable person for every crucial payment.
- While appointing different individuals, guarantee you have all essential permissions.
- As a consequence of any adjustments or cancellations of the Odyssey, please ensure you are acquainted with your group as soon as possible.
Note: The company will not be responsible for errors or dissimilarities in the provided details.
Booking a trip
The trip is any itinerary or activity you purchase from us via our official web portal, embracing trekking, expeditions, excursions, and other related adventure programs, where:
- Only once the business concerns a receipt for a validation transaction record or email does the reservation become final and authorized.
- The agreement between the two parties officially becomes executable upon receipt of the acceptance statement or email.
- The company secures the privilege to modify travel expenses before the bookings are verified and the contract is enforced.
- In like manner, the business will not be held liable for any guarantees, associated agreements, earlier contracts, service summaries, or terms other than those specifically mentioned in the contract.
Depositing funds to Reserve a Trip
A deposit is needed while booking a trip to guarantee a reservation and you should pay in full before the journey begins. Cash in hand or other acceptable payment methods include bank transfers, credit cards, and debit cards.
For travels to Nepal
10% of the complete trip expenses are obligated to pay while booking Nepal Trips; the precise amount will be determined by the duration, difficulty, and departure date of the trip, and the payment is due upon your arrival in Kathmandu, Nepal.
For scheduling a journey to Bhutan or Tibet
50% of the full travel cost is required in advance for reservations for the trip to Tibet or Bhutan; some may even necessitate full payment upfront. The remaining 50%, however, must be paid in USD or by credit card in Kathmandu, Nepal, 20 days before the trip departure.
To Complete the Last Payment
Journeys to Nepal
Trekking, climbing expeditions, jungle safaris, touring, nature excursions, or any other kind of vacation in Nepal can be settled upon arrival and must be completed by the day of departure.
To avoid a 4 % levy, we advise you to review the itinerary, inclusions, and any additional services you have requested before completing the final payment in cash in USD or any other convertible foreign currency.
Trips to Tibet and Bhutan
The whole payment for the Bhutan and Tibet tours must be settled before formally leaving for the trip upon arrival in Nepal, similar to the final payment for visits to Nepal. You can use a bank transfer or credit card like American Express, Visa, or MasterCard for this payment. Please be aware that a 3.5 % charge will apply if you choose to pay with a credit card or debit card. Therefore, the wise option is to bring hard currency such as USD or other convertible currencies.
Methods of Payment
We agree to:
- Union Pay, American Express, Master Card, and Visa card.
- The processing charge will be applied to a 3.5% levy that is not affiliated with the overall trip expenses and for which we are not accountable.
- It is recommended to bring cash, USD, or any other easily convertible foreign currency for the final payment to refrain from the 3.5% bank service charge.
Last-Minute Reservations
For trips to Tibet and Bhutan, we can consent to last-minute bookings up to 20 days before the tour departure date, depending on availability.
For excursions to Tibet and Bhutan, we can consent to last-minute reservations up to 20 days before the tour’s departure date with complete payment.
Policy for Trip Cancellations and Refunds
Nepal Adventure Trip Pvt. Ltd. provides a definite cancellation and refund policy that considers operational responsibilities and trek arrangements in Nepal, Tibet, and Bhutan.
The client canceled the trip.
If a client wants to cancel their booking trip, they inform Nepal Adventure Trip Pvt. Ltd. by sending an email or letter with a convincing explanation. The cancellation date is based on the notification received.
The number of days before the scheduled trip date determines the cancellation fee, which is as follows:
- 60 days more: Although the amount is non-refundable, you have a year to choose a comparable trip.
- 30-59 days: If you need to cancel within 30 to 60 days, 25% of the total cost of the service booked will be charged.
- 20-29 days: You will be required to pay 45% of the total expenses of the trip if you cancel between 20-29 days before departure day.
- Less than 20 days: No refund will be available; you will be billed 100% of the entire trip cost as a cancellation fee for the services booked; there will be no refund.
Cancellation of Tour by Company
In the rare circumstance of unanticipated events such as political upheaval or natural disasters, the company reserves the right to cancel or alter trips. In such cases, clients are free to select alternative itineraries or receive a full refund, minus the non-refundable deposit costs already incurred, which are 10% of the total trip expense for journeys to Nepal and 50% for trips to Tibet and Bhutan.
Rearranging the Journey
If you urgently have to rearrange your trip to Nepal, Tibet, and Bhutan, please provide us with the specifics of your current reservation and a written justification for rescheduling at least 20 days before the trip’s departure.
You have to pay an additional USD 200 if you wish to transfer your trip to another. You will also be responsible for paying for the transfer to him/her.
Visas, Passports, Royalties, and Travel Insurance
- The majority of nations can easily obtain a tourist visa at the Tribhuvan International Airport in Kathmandu or the border by having a valid passport with a minimum of six months from the return date to Nepal. To acquire a tourist visa to Nepal, please complete the application available at the Department of Immigration.
- According to trips to Tibet and Bhutan, a straight visa is unlikely to be granted. If you have a valid passport with at least 6 months of validity, Nepal Adventure Trip Pvt. Ltd. will obtain all the mandatory permits and visas for you, including the royalties that are required for touring in Bhutan and only apply in certain restricted and protected parts in the case of Nepal.
- It is indeed advisable to take up good travel insurance before embarking on any of the highland expeditions and thrilling trips in Nepal. The prices for travel insurance to Nepal vary according to the length of your trip, the duration of your stay, and your choice of policies. If you get travel insurance, you achieve services including, but not limited to, hospital charges, medical care, surgery, and high-altitude coverage in case of an accident or illness while traveling.
Responsibility and Liability
Excursion in the Himalayas always involves certain inherent dangers, although every necessary measure is implemented to ensure the protection and welfare of our clients conducting each tour and trek by the rules and regulations issued by the relevant country's tourism authority. The Nepal Adventure Trip Pvt. Ltd. family, including guides, employees, and affiliates, shall not be accountable for any loss, harm, damage, or delay resulting from uncontrollable factors such as political instability, natural disasters, or personal negligence.
The Code of Conduct
Clients are intended to honor the local people, wildlife, and ecosystem by adhering to the customs, cultural practices, and environmental conservation guidelines during their journey to the Himalayas. Thus, similar to our guide or staff, please inquire about permission before taking any pictures.
They may take snapshots or footage of you to utilize them as marketing content for our business on our website and social media channels. If you are awkward with how you look in any of the posted photos or videos, please let us know, and we will be glad to remove them.
